Cancellation Policy
In order to ensure mutual respect for patients and practitioners, Hua Jai Medicine adheres to a strict booking and cancellation policy. I understand unexpected delays, emergencies, and scheduling conflicts occur. If you need to reschedule, I kindly ask that you provide 48 hours notification of cancellation and rescheduling. This policy allows for adequate cancellation notice so that patients who may need an appointment slot have timely access to care.
Late cancellations: Cancellations within 24 - 48 hours of your appointment will be charged 50% of the service value
Same day cancellations: Cancellations within 24 hours of your appointment will be charged 100% of the service value
No shows: No shows without prior notice will be charged the full session value and future bookings will require prepayment
Late arrivals: If you arrive late, your session may be shortened to accommodate other appointment times. the full session fee will still apply.
Please note: I’m unable to accommodate rescheduling for things like work obligations, low energy, or off days. Acupuncture is here to support you—especially when you’re not feeling your best—and staying consistent is key to the healing process. Thank you for honoring this policy and your own care.

Payment Policy
Payment is due at the end of each treatment via the Jane Portal, Zelle, or cash.
Cash is always the preferred method of payment, however, Zelle and all major credit cards are accepted.
I do not accept insurance at this time, but am happy to create a Superbill for your insurance provider
Confidentiality & Privacy
Your privacy is of the utmost importance at Hua Jai Medicine. All personal health information you share—whether verbally, in writing, or through electronic forms—is kept strictly confidential and is protected under federal and state privacy laws, including HIPAA (Health Insurance Portability and Accountability Act).
Your information will only be used for purposes of providing care, treatment planning, and communicating directly with you regarding your care.
I will never share your information with third parties without your written consent, unless required by law (e.g. in cases of suspected abuse or danger to self/others).
Electronic records are stored securely through our Jane software, a HIPAA-compliant system.
If you ever have questions or concerns about how your information is used or stored, please don’t hesitate to reach out.

COVID-19 & Health Guidelines
Your health and safety are important to me. I strive to create a healing environment that is both comfortable and respectful of each client’s needs.
Masks are optional during your visit. However, if you choose to wear a mask, I will gladly wear one as well to support your comfort and safety.
Please reschedule your appointment if you are experiencing any cold, flu, or COVID-like symptoms such as fever, sore throat, coughing, or recent exposure to illness.
The treatment space is regularly cleaned and sanitized, with fresh linens and proper hand hygiene maintained between clients.

I am not available for emergency consultations outside of scheduled appointment times, but you are welcome to email me with non-urgent questions, and I will respond during business hours.
